Registration conditions and cancellation policy

1. Registration and spot reservation

A team's registration is formalized with the payment of a €500 deposit per team. This deposit is an initial advance payment that is deducted from the total amount of the team; it is not an additional cost. It confirms the team's spot in the tournament and is non-refundable under any circumstances, regardless of the timing and reason for the cancellation.

The total amount for each team is calculated based on the number of participants and the price per person of the booked package. This total amount is divided into the following payments (deposit included):

3. Team cancellation policy

In the event that a team must cancel its participation, the following conditions apply based on the date the organization receives the written notice:

• ✓ Until February 10, 2027: the entire amount paid will be refunded, except for the €500 deposit.
• ✓ From February 11 to February 28, 2027: 50% of the paid amount (excluding the deposit) will be refunded.
• ✓ From March 1, 2027 onwards: no refund will be issued, as accommodation, meals, transport, and all other services have already been booked and paid for by the organization.

4. Modification of the number of participants

Reductions in the number of players or accompanying persons can be communicated until February 28, 2027. After this date, the booked spots will be billed anyway, as the associated services are already committed to the suppliers.

5. Individual withdrawal due to injury or illness

If a player is unable to attend the tournament due to injury or illness proven by a medical certificate, the following options apply, in this order:

• 1. Replacement at no cost: the team may replace the affected player with another participant at no additional cost, as the spot (accommodation, meals, and materials) is already reserved.
• 2. Refund of the uncommitted part: if a replacement is not possible, the portion of the amount that the organization can recover will be refunded. Already booked accommodation and meals are non-refundable from March 1, 2027 onwards.
• 3. Voucher for the next edition: alternatively, an equivalent voucher for the uncommitted part is offered for the CBGB 2028 edition.

In all cases, this condition requires the presentation of a medical certificate proving the inability to attend.

6. Third-party expenses

The organization is not responsible for expenses that teams or their members have booked on their own account (flight tickets, transport, additional accommodation, or other external services) in case of cancellation, modification, or inability to attend.

7. Cancellation due to force majeure

In the event that the tournament must be canceled or postponed due to reasons beyond the organization's control (health restrictions, administrative bans, extreme weather conditions, or other cases of force majeure), the organization will offer, based on the assessment of each case, the transfer of the amount to the next edition or the refund of the part not committed to suppliers.

8. Acceptance

The formalization of registration implies full acceptance of these conditions by the team and its manager.
